Admissions Coordinator - LCDCi Required - Southwest Houston, Texas

Cenikor Foundation is a non-profit organization and one of the largest substance abuse treatment centers in the nation. We are currently seeking an Admissions Coordinator for Odyssey House, our adolescent facility in Houston, Texas. 

The Admissions Coordinator is responsible for coordinating day-to-day operations in the Admissions Department and ensuring that the Department functions efficiently and effectively, ensuring accurate documentation and compliance with admissions processes, financial processes and Foundation policies. Manages all required communication, documentation and reporting with referral sources as well as corporate departments such as access center and insurance billing.


  1. Greet all visitors and professionally represent the organization through correspondence, telephone and personal contacts.
  2. Handle incoming calls for the organization and outgoing follow-up calls as required. Provide program information to the general public, responds appropriately to phone calls, correspondence, and email inquiries.
  3. Coordinate referrals from agencies/organizations including evaluating all referral material and consulting with Clinical Manager to facilitate admissions as appropriate. Follow requirements of admission for priority populations as well as Cenikor policy and procedure.
  4. Initiate contact with referring agency/person when a treatment bed is assigned to the referral. Provide information for appropriate outside referrals for any client not accepted for admission to the program.
  5. Collaborate with referral sources, business development managers, and community partners. Assist with the referral and/or wait list, as requested.
  6. Assess referral system problems or barriers, and consult with the Clinical Manager and Access Center to reduce impediments to treatment.
  7. Work closely with the Clinical Manager/Nurse Manager/Access Center and Insurance Department to ensure accurate and timely communication of client information.
  8. Provide effective communication to client/family, team members and other health care staff in regards to benefits, appointment scheduling, client responsibility via email or other means; provide proper forms for financial responsibility, self-pay clients, payment arrangements and/ or admissions payments.
  9. Work closely and communicate effectively with access center team to ensure all persons interested in admission to Cenikor are contacted within the set required timeframe and admissions are completed as appropriate. Complete any required documentation and reporting for access center and/or referral sources as required.
  10. Coordinate admissions appointments or other calendar appointments for the Counselors/Clinical Manager with Access Center.
  11. Facilitate an efficient admissions process, ensuring appropriate screening and interviewing, and accurate completion with client of all necessary admissions documentation for admission to the program.
  12. Monitor newly admitted clients while showering/bathing under strict guidelines for personal hygiene.
  13. Catalog and record client’s clothes inventory.
  14. Complete all consents with clients. Enroll client in Welligent as well as CMBHS, if applicable. Assign client a bed.
  15. Develop and maintain processes with insurance department to maximize revenue, including initiating contact with insurance billing department to coordinate collection of client responsibility. Collaborate with Program or Facility Director for any variation approval in client financial responsibility. 16.
  16. Maintain patient records by obtaining, recording, and updating personal and financial information in Welligent as well as CMBHS, if applicable, for monthly reporting and appropriate billing and authorization purposes.
  17. Responsible for understanding 3rd party payor process related to verification, authorization and reauthorization as well as client responsibility and collections. Work with insurance and billing department to actively manage 3rd party payor clients to ensure quality client care and fiscal responsibility, as appropriate.
  18. Report daily census by compiling information consisting of the number of admissions, discharges, and total number of active clients in the facility. Generate statistical reports from databases when necessary for facility management and corporate office.
  19. Work in conjunction with all facility staff to facilitate a safe environment for client recovery.
  20. Manage lobby cleanliness standards to ensure professional presentation for clients at all times.
  21. Maintain compliance with federal and state regulatory standards as well as Cenikor policies and procedures. Participate in QA process, ensuring all standards are met.
  22. Assist with implementation and ensure on-going compliance to CARF standards.
  23. Adhere strictly to HIPAA regulations in regards to client confidentiality. Maintain strict confidentiality on all Foundation matters and refer questionable issues to your supervisor.
  24. Conduct clinical intake assessments on an as needed basis.
  25. Uphold the core principles of Cenikor’s culture and create a positive working environment for all team members.
  26. Provide backup coverage as a Behavioral Health Technician on an as needed basis.
  27. Facilitate groups on an as needed basis.
  28. Perform additional duties as assigned and consistent with exempt functions as defined in this job description

Skills, Knowledge and Abilities:

  • Possesses good time management skills needed to meet aggressive deadlines and prioritize multiple tasks.
  • Knowledgeable of insurance, Medicaid and state funding admissions criteria and timing.
  • Experienced and capable in assessing client needs and identifying appropriate resources for client development.
  • Presents a positive, customer service oriented, and professional image.
  • Possesses good oral and written communication and public speaking skills.
  • Experienced in working with diverse population.
  • Knowledge of Microsoft Office software required, including MS Outlook calendar.

  • Associate degree required
  • Bachelor degree preferred

Licensure Required:

  • LCDC-I


  • Previous experience in medical admissions preferred
  • Experience with CMBHS or other electronic health record system preferred
